The primary responsibility of the Administrative Assistant position is to assist management and staff with a variety of general activities, including internal and external client services, checking-in clients and visitors, event and catering coordination, expense reconciliation, maintaining appearance of common spaces, and restocking of supplies, among other tasks. The Assistant is a confident and flexible team player and an ambassador of TEAGUE as a company and a brand, delivering the highest level of client care in all transactions. Success in the role requires proactive thinking and execution of tasks, planning for potential scenarios, maintaining professionalism under pressure, and the comfort and confidence to build relationships both internally and externally.

Who We’re Looking For:

A cheerful, flexible and unflappable professional who delights in the prospect of welcoming guests and creating an orderly studio atmosphere. On any given day, you may find yourself handling a multitude of miscellaneous but vital tasks that keep the studios running smoothly. These include tracking appropriate inventory in the stock room, ordering office supplies and maintaining vendor relationships; providing catering support; managing the conference room master calendar; reconciling expenses; handling general documentation support (proofreading; formatting; printing); performing open and close duties; conducting studio orientation tours for new hires; managing magazine subscriptions and camera equipment; and/or receiving and distributing email, voice, and mail communications. You are often up and about, ensuring that the studio common spaces look immaculate, and personally following up on tasks in real time. In addition, you play a key role in event coordination, serving as the studio contact for events and celebrations; gathering information on the event; researching and providing cost estimates; and coordinating the setup, support and breakdown of events. Most importantly, you understand your role as an ambassador for TEAGUE and are keen to model the company’s values in all your interactions. Personality-wise, you keep a cool head at all times and are skilled at prioritizing, even when you’ve got a lot of plates in the air at once. You think fast, troubleshoot with grace, have a proactive, solution-oriented mindset, and enjoy working with people, whether it’s supporting VIP clients, caterers, internal teams, or any others in need of assistance with a smile.   • Experience: High school diploma required; some college preferred; 2+ years experience in an administrative, customer service or coordinator role; experience with an agency/consultancy or startup preferred; experience working in a creative environment preferred; comfortable with the dynamics of a company spread across multiple physical locations; familiar with high-end customer service and client care
  • Special skills: Proficient in MS Office Suite, specifically Word, Excel, Outlook and PowerPoint; Skype and Adobe Acrobat skills; excellent communication, time management and organizational skills; valid Washington State driver’s license
  • Passion: Making others feel welcome, coordinating events and schedules, maintaining order
